How Reputify uses AI · Last updated: 25 May 2026
1. Overview
Reputify uses AI to help you understand reviews faster and draft responses. You stay in control: suggestions are optional, and publishing to Google requires your approval when that feature is enabled.
Reputify is not a medical device and does not provide clinical advice. Use extra care with healthcare-related reviews—edit drafts before sending.
2. Features that may use AI
- Sentiment and themes — classifies review tone and topics for dashboard and reports (rule-based on all tiers; enhanced analysis on Growth/Scale where enabled)
- Intelligence reports — periodic summaries, risk factors, and recommended actions from your review history (Growth/Scale)
- Reply suggestions — draft responses you can edit before posting
- Chart insights — short narrative explanations of dashboard trends (cached briefly)
3. What content may be sent to AI providers
When you use AI-assisted features, we may send a subset of:
- Review text (often truncated for processing limits)
- Star rating and basic review metadata
- Business name and plan context needed to personalize a draft
We do not send Neighborhood Scan raw payloads or marketing lead forms to AI for generation. Public Places comparison data is used in rule-based UI, not for open-ended generative replies.
4. Subprocessors
AI features may use third-party model providers (e.g. OpenAI) configured for the Reputify deployment. Payment, email, WhatsApp, hosting, and analytics providers are listed in our Privacy Policy.
We configure production AI calls for service delivery. Do not paste sensitive personal health information into prompts unless you have assessed the risk for your business.
5. Healthcare-sensitive reply checks (clinics & dental)
For healthcare-related business categories (for example dental clinics and medical clinics), Reputify automatically applies healthcare-sensitive checks to AI reply drafts.
- Flags drafts that may confirm patient status or repeat treatment or health details from a review on a public Google reply
- Checks are advisory — you can still edit and publish after reviewing the warning
- Does not make Reputify HIPAA-compliant and does not replace your professional judgment
- Do not paste sensitive health information into prompts; edit every draft before publishing
6. Human approval and publishing
- AI outputs are suggestions, not automatic customer communications
- Review replies are published to Google only when you confirm (where Google publish is enabled)
- Review-request messages use templates and content you approve; AI does not auto-message your customers without your workflow
7. Audit and billing
AI-assisted actions may be logged (model type, token usage metadata, review length—not necessarily full text) for compliance, support, and tier limits. Growth and Scale plans include AI usage boundaries described on the pricing page.
